Purpose: Create folders and manage user access permissions in Flow Capture. Prerequisite: An activated Okta account with Flow Capture access. Audience: Production Admins, Users with folder permissions. |
1. Create New Folders and Subfolders
NOTE: Only Production Admins and Folder Admins can create a new folder
The Flow Capture Desktop has a nested Folder structure, enabling you to create an organizational structure of Folders within Folders (or, subfolders) that goes as many levels deep as you need. It's easiest to think of Folders as combinations of assets that have been uploaded to Flow Capture and the people you want to grant access to those assets.
The way you structure your Folders allows you to keep track of both the assets and people within a given Production. You can use them to separate unsorted Dailies (small distro) from Selects (wider distro), or the still photo assets used during location scouting from those for use during marketing.
Each Folder card has a color stripe and name. If you click on the three dots, the Action Menu will pop up
Creating a New Folder
To create a new folder, simply click on the "+" sign next to "Folder" at the top.

On the right-hand side, you’ll see a menu where you can enter a name, description, and choose a color for the new Folder.
The only required field is Folder Name, but you can add a description and choose it's color, as well!
The Folder Action Menu
Clicking the Action menu at the bottom right of a card gives you the following options:
- Open - Opens the selected Folder to display assets
- Copy Link - Makes it easy to share a link to the Folder
- Delete Folder - Allows you to remove the Folder and any assets within it.
2. User Management
Select the folder then click on "Administration"
Click on "Manage Teams" then type the details in the "CONTACTS" field.
Type the name of the team and click on the "+" sign to add a member to the team.
3. Access Management
NOTE: All access must be approved by the data owner. In some cases Content Information Security will need to review access.
