Purpose: To provide a comprehensive understanding of shared inboxes in the Packages App, covering their creation, management, membership, permissions, and external user access configuration within Aspera on Cloud (AOC). Prerequisite: Aspera on Cloud (AOC) account with admin permissions or workspace manager permissions to the workspace required. Audience: AOC admins and workspace managers. |
1. Overview
Gain in-depth knowledge of shared inboxes, one of the most-used Packages app features. Learn to create and manage shared inboxes, including inbox metadata. Manage membership and permissions. If desired, configure links to allow external users to join the membership based on domain filtering or admin approval.
Shared inboxes overview
As an org admin or workspace manager, you can configure shared inboxes. A shared inbox is an optional workspace feature similar to a distribution list: Depending on access privileges you assign, users can send content directly and simultaneously to all members of the shared inbox and can view all packages sent to the shared inbox.
Accelerate shared inbox setup through inheritance
Certain aspects of the Aspera on Cloud structure are hierarchical, allowing administrators to speed configuration and deployment of shared inboxes in the Packages app. In most cases, you can customize inherited settings for each individual shared inbox.
Manage shared inbox memberships
As an admin, you can manage membership in shared inboxes, including the permissions and membership expiration.
Create a new shared inbox
A shared inbox is an optional workspace feature that is part of the Packages application. As an organization administrator, you can create a shared inbox in any workspace; as a workspace manager, you can create a shared inbox within any workspace in which you have manager privileges.
Configure shared inbox settings
You can create and manage shared inboxes from the Packages app or from the Admin app.
Add metadata fields to a shared inbox
Create optional or required metadata fields that display on the Package Submission form to users sending content to a shared inbox.
Allow self-registration for a shared inbox
To simplify and accelerate the task of adding external users to a shared inbox, you can use a self-registration link that enables users to join or apply to join a shared inbox with Send only permission.
Use shared inboxes for external collaboration
There are several ways you can support collaboration between your AoC shared inbox members and outside users (users who are not members of your AoC organization).
